Our new update introduces Approval Tasks for managing security and compliance risks. When enabled, an admin or manager must manually approve the action before it takes effect.
Currently, Approval Tasks are set at the folder level and can be enabled for creating Shared Links or for requiring manual approval for every file upload to the folder.
File Upload approvals
File upload approvals are a way to stop unauthorized uploads into a specific folder. When file upload approval is turned on, every file must be approved before it will be uploaded into the folder.
While awaiting approval, files will be isolated in a quarantine zone outside of your storage. When approved, they will be transferred to the target folder. If denied, the file will be permanently deleted.
Shared Links approvals and updates
For Shared Links, you can set approvals to be required for creating shared Links to the folder. Users who attempt to create a Shared Link to one of these folders will get a message saying the link is waiting for approval. Anyone who visits the link address will see a similar message.
We've also added another option for email verification with Shared Links. Emails that aren't on the whitelisted allow list can now request access to the Shared Link. This will send an approval task, and the user's email will be added to the whitelist once approved. To avoid spam, this option is off by default and must be enabled for each Shared Link.
Configuring and managing Approvals
Approvals must be enabled per folder and apply to subfolders as well. They can be enabled in the File Browser in folder settings, accessible in the three dots and then the Manage Folder option.
The new Approvals tab allows you to manage pending approvals for all tasks that require approvals. Tasks expire 2 weeks after creation, and an email will be sent out once a day to users who have pending approvals. Users will only see their own pending approvals by default, but account admins can toggle a view to see all pending approvals across all users.
Approval Tasks are available to all customers now.
